Meeting Cost Calculator
Your meetings
Typical numbers for the team. We work out the hidden cost.
Hourly cost $48 (salary / 2,080 hours). Salary only, no overhead.
Shown in the summary and the email. It does not change the maths.
What drives the number
Meeting cost grows with every person in the room. Three inputs move the result most.
People per meeting
Cost scales with everyone who attends. Taking two people out of a weekly six-person meeting cuts its cost by a third.
Length
A 60-minute default costs twice a 30-minute one. Shorter defaults in the calendar are the cheapest change you can make.
What really moves
The saving depends on the share that could go async and how many people switch. Be honest about both.
Questions
Meeting cost questions
How is the yearly cost worked out?
Meetings per week times length times the people in the room gives person-hours a week. We count 48 working weeks a year, to leave out holidays and leave, and price each hour at salary divided by 2,080 paid hours.
Where do the “could go async” shares come from?
From you. We start with example shares (60% of status updates, none of client calls) and you change them for each meeting type. There is no hidden automation rate behind the result.
Why is the realistic saving lower than the movable cost?
Not everyone switches. The adoption slider says how much of the movable time you expect to actually move. At 70%, a meeting type that could be fully async saves 70% of its cost.
What if my mix does not add up to 100%?
The sliders rebalance to keep 100%. If a mix ever adds to something else, the results scale it to 100%, so every figure still sums to the yearly cost.
Doesn’t brainstorming need to be live?
Often, yes. That is why its default async share is low. Collecting ideas in a shared board before the meeting can still make the live session shorter.
How current are the tool prices?
We checked each vendor’s pricing page on 5 Oct 2026. Prices are per user a month unless noted, and change often, so check before you buy.
